The Hidden Costs of Digital Projects: Domains, Hosting, Payment Fees, and Third-Party Services

The number on a development quote is only part of a digital project's total cost. After launch, a string of small but recurring fees starts ticking every month. These aren't fees vendors hide — they're the industry's "everyone knows, but nobody volunteers to tell you" ongoing costs. We run our own e-commerce and subscription products and pay these bills every month. This article lays the whole list out.

Infrastructure: you pay as long as the site is alive

  • Domain: a few hundred to a few thousand NT$ per year. Small money — but watch whose name it's registered under. A domain registered under a former vendor's own account is the most common hostage situation when switching vendors.
  • Hosting: a brand site runs a few hundred to NT$2,000 a month; e-commerce or systems with databases run NT$1,000 to tens of thousands monthly, climbing as traffic grows.
  • CDN and security services: basic tiers are mostly free; you pay for high traffic or advanced protection.
  • SSL certificates: mostly free nowadays (Let's Encrypt). If a vendor is still charging an annual fee, it's worth asking why.

Transaction costs: you pay whenever business happens

  • Payment processing fees: roughly 2–3% for credit cards, a fixed per-transaction fee for convenience-store payment codes, cash on delivery priced separately. For a store doing NT$500,000 a month, processing fees alone run well over NT$100,000 a year — a permanent line on every e-commerce P&L.
  • Government e-invoicing service provider: monthly or annual plans priced by invoice volume — a few hundred to a few thousand NT$ per month.
  • Logistics integration: the system fees are mostly free, but some services charge when tracking-query volume gets large.

Communications and third-party services: the most underestimated category

  • SMS: roughly NT$0.7–1 per message. Verification codes, delivery notices, marketing texts — at volume that's thousands to tens of thousands monthly.
  • Email delivery services: transactional mail and newsletters, priced by volume.
  • LINE Official Account: once message volume exceeds the free tier, the monthly fee is very noticeable.
  • API subscriptions: maps, AI models, translation, financial data — every third-party service you connect adds another monthly bill. Model usage fees for AI features especially deserve an estimate up front.

Labor: nobody counts it, but it's the most expensive

Content updates, order processing, customer support, checking the numbers. Systems automate part of it, but the cost of "someone keeping an eye on things" never goes away. Add the monthly maintenance fee and you have the true cost of ownership.

When evaluating a digital project, don't ask "how much does it cost to build?" Ask "how much does it cost per year to keep?"

How to avoid sticker shock from hidden costs

Before signing, ask the vendor for an "estimated annual ongoing costs after launch" table. A vendor willing to produce one has actually operated systems; one who hems and haws will build it and walk away. We attach this table to every quote, because a client who gets sticker-shocked never becomes a long-term client. If you'd like the total cost of ownership worked out before setting a budget, book a free 30-minute consultation and we'll run the complete first-year numbers for you.
